Driving productivity for logistics group


As we were recently shortlisted for SaaS Solution of the Year at the European IT & Software Excellence Awards for our work with logistics firm Yearsley Group, we thought we’d share just what caught the judges’ attention.

Yearsley Group – the UK’s largest provider of supply chain solutions in the frozen sector – has been a client of ours since 2000, using both our time management system and Flexipay, our payroll solution.

Previously using a homemade AS400 solution, which meant them entering and sending everything manually to HMRC, Yearsley began using our Flexipay system in April 2002. Implementing Flexipay drastically reduced the number of hours spent on manual data entry per month, as well as assisting with processing P11Ds and online payslips.

In 2015, Yearsley identified the need for a more environmentally-friendly and cost-effective solution regarding their payroll documentation and HR processes. Our Employee Self-Service solution fit the bill perfectly, so throughout 2015 and 2016, we integrated the solution across the business, which has helped to streamline both the HR and payroll department’s workloads.

The system enables the digital provision of payslips and P60s as opposed to paper copies, while giving employees the power to perform more of their own admin tasks, such as the ability to request or swap shifts, and an option to request changes to actual worked hours.

Stuart Carroll, payroll and systems manager at Yearsley, said: “It’s these features that make the solution distinctive from alternative solutions in the market. Ultimately, this has saved managers and the HR team more than 27 day’s worth of time annually, 63 hours on processing holiday requests, 42 hours on absence enquiries and 100 hours amending personal details each year. This is a huge benefit because it gives managers and the HR team time to concentrate their efforts on higher level strategic issues, such as training, policy management and recruitment.”

The self-service HR system was developed to easily integrate into existing systems that Yearsley was already using, our Time Management System (TMS) and Mitrefinch Payroll Solution, Flexipay.In fact, the installation of the new self-service HR system required just one day of configuration and training.

Further flexibility for staff was enabled at the start of 2017 with the implementation of the TMS 8 upgrade. The new function of remote access means that the system can be accessed anywhere, which is beneficial for home workers or those working out on the road. We handled the three-day initial system installation but, due to the simplicity of TMS 8, Yearsley managed the additional set-ups internally. Plus, it was so similar to the previous system that no further staff training was required, and we even carried out much of the upgrade offsite to avoid unnecessary inconvenience to the client.
