The main phases of a standard multi-site implementation are:
Consultancy PhaseYour Mitrefinch project team works with you to create a full and detailed system specification and establish a realistic roll out timescale. A timescale is agreed based on the amount of resource you are able to commit to commissioning and training, and the complexity of the reporting that is required on each site. Tests are also devised that will establish when the system can be considered to be working satisfactorily.
Pilot PhaseA suitable sample is identified to test the functionality of the system. This could either be a department, small site or ideally a cross section of employees representing all types of work rules. A system is commissioned to run alongside the existing system and the sample employees use both systems for a given period. We suggest this is for at least one pay period. The integrity of the system is tested across all work rules and any issues are addressed. Key staff members receive full training and where appropriate “Train the Trainer” sessions are set up to assist with roll out. We will also work with you to devise suitable training material for roll out to staff. Some customers ask members of the pilot phase to become system ambassadors and assist in the roll out to colleagues on other sites. We have found this to be an effective method of introducing the system. The system is deemed to be stable when the satisfaction tests devised above have been met.
Phase One Roll OutThe system may then be rolled out to main or high priority sites. Training for system administrators is provided by Mitrefinch or your own training team. Depending on the speed of the roll out these sites may stay in the implementation phase until the completion of the project, or move to the support phase when they are performing robustly.
Phase Two Roll OutImplementation is completed across all sites. The speed of this phase will again be determined in partnership with the customer. This is usually done sequentially to avoid overloading your Payroll and HR staff, however we can run installations concurrently if this is preferred. All data is now transferred across to the new system and the old system is decommissioned.
Project Sign OffOnce implementation is complete the Mitrefinch project team will return and ensure the system is robust and consistently meeting the satisfaction tests devised. At this stage the customer is asked to sign off the implementation phase of the project as being complete.
